Privacy policy

Rabbit Hole Music is run by Rabbit Hole Records Ltd ("we", "us"). This page explains what personal information we collect through rabbitholemusic.uk, why we collect it, and what you can do about it.

Who we are

Rabbit Hole Records Ltd is responsible for your personal information. We are registered in England and Wales, company number 15510704. Registered office: Elsley Court, 20 to 22 Great Titchfield Street, London, W1W 8BE, United Kingdom. Email: info@rabbitholemusic.uk.

What we collect and why

Shop orders. When you buy from our shop, we collect your name, email address, and delivery and billing addresses. We also collect what you ordered, and your phone number if you give one. We use these to take payment, send your order and handle returns. We need them to sell to you, so we cannot take an order without them. Squarespace Payments handles your card. We never see or store your full card details. If you pay with Klarna, Klarna's own privacy policy also applies. The law also makes us keep records of sales for tax.

Customer accounts. You can create an account on our shop to check out faster. If you do, Squarespace keeps your name, email address, saved addresses and past orders. Ask us and we will delete your account.

Mailing list. At checkout there is a box to get emails from us. It starts unticked. If you tick it, we add your email address to our mailing list. Every email has a link to unsubscribe.

Emails you send us. If you email us, we keep your message and email address so we can reply. We are allowed to do this because you would expect a reply. The law calls this legitimate interests.

Demo submissions. Demos come in through Trackstack, a separate service. Trackstack collects what you send, such as your music and contact details, and shares it with us so we can listen. Trackstack's own privacy policy covers how it handles your information. We are allowed to use your demo this way because you sent it for us to hear. This is also legitimate interests.

Rabbit Hole Pass. The Rabbit Hole Pass runs on a separate service at goddard.planet.fans. When you sign up there, that service's own privacy policy applies.

Cookies. Our site runs on Squarespace. It uses essential cookies to make the site and the shopping cart work. These are always on.

We only use the following if you click Accept all in our cookie banner, or allow them under Manage cookies:

  • Squarespace's own visitor statistics, so we can see how many people visit and which pages they view.
  • Meta Pixel, to measure our Instagram and Facebook ads, and to show our ads to people who have visited. Meta also uses this information for its own purposes, as Meta's privacy policy explains.

If you click Decline all, we do not use them. You can change your choice at any time with the Cookie Preferences button on every page.

Our music page also has a SoundCloud player. SoundCloud may set its own cookies when that page loads, whatever you choose in our banner. SoundCloud's own privacy policy covers these.

Smart links and ads

Our release links, for example lnk.to/RabbitHoleFeelingLow, run on Linkfire. We put the Meta Pixel on them, only if you say yes. We use it to measure our ads, show our ads to people who visited and find people with similar tastes. Meta keeps these visitor lists for us for up to 180 days, and lists of people who engaged with our Instagram for up to a year. Rabbit Hole Records Ltd and Meta are jointly responsible for collecting this. This covers visitors everywhere, including Australia and New Zealand. You can change your mind at any time in the link's cookie settings.

Who we share it with

We only share your information with the services that help us run things:

  • Squarespace, which runs our site, shop, customer accounts and mailing list, and takes payments through Squarespace Payments.
  • Klarna, if you choose to pay with Klarna.
  • Whoever makes and delivers your order.
  • Google, which runs our email.
  • Trackstack, which receives demos for us.
  • Meta, only if you accept cookies on our site or our release links.
  • Linkfire, which runs our release links.
  • SoundCloud, through the player on our music page.
  • Our accountant and HMRC, for our accounts and tax.

We never sell your information.

Information stored outside the UK

Some of these services keep information outside the UK, for example in the United States. When they do, it is covered either by UK rules that approve that country, or by contract terms approved under UK law. Email us if you would like the details or a copy.

How long we keep it

  • Shop orders: six years from the end of the financial year of the order, because UK tax rules require it.
  • Customer accounts: until you ask us to delete yours.
  • Mailing list: until you unsubscribe.
  • Emails: for as long as we need them to answer you or deal with an order.
  • Demos: for as long as they stay in our Trackstack inbox. Ask us and we will delete yours.
  • Cookies: for as long as each cookie lasts. Your browser settings show this, and let you delete them.
  • Release link visitor lists in Meta: up to 180 days. Instagram engagement lists: up to a year.

Your rights

You can ask us to:

  • send you a copy of your information
  • correct it
  • delete it
  • stop using it, or use it less
  • send it to you or to someone else in a format a computer can read

If you agreed to something, such as cookies or our mailing list, you can change your mind at any time. Email info@rabbitholemusic.uk and we will reply within one month.

Complaints
